The services we rely on. What each one does, and where.
These are the outside companies that handle information for CoachTide. Each one gets only what it needs to do its job. We do not sell your information.

Where your data lives
Your records are stored at rest in Canada, in the Canada Central (Montreal) region. Some processing runs on servers in the United States, and several of the companies below work internationally, so your data may travel outside Canada while CoachTide does its work. We handle personal information in a manner consistent with PIPEDA and British Columbia's PIPA.

Sub-processors
When you take payments through Stripe or PayPal, you hold that account and agree to their terms directly. CoachTide connects to it for you.
Supabase
Our database, sign-in, and file storage.
HandlesEverything you keep in CoachTide: your account, clients, sessions, notes, goals, agreements, invoices, and the files you share.
WhereCanada (Montreal), on Amazon Web Services. This is where your data is stored at rest.
Vercel
Runs the app, the client portal, our website, and the coach websites we host. It also carries in-app Guide, import, website writing and takeaways AI help requests to Anthropic.
HandlesEach page request and what it shows, while it is being worked on, plus request logs such as IP addresses.

Resend
Sends the emails CoachTide sends for you and for us, including sign-in emails, and receives the e-Transfer notices you forward to us for payment matching.

Stripe
Takes card payments from your clients on your own Stripe account, where you are the merchant. Also handles CoachTide’s own subscription billing when you subscribe to a paid plan.

PayPal
Takes payments from your clients on your own PayPal account, if you connect one.

Twilio
Sends text reminders from a shared CoachTide number. Nothing is texted until a coach switches text reminders on, and then only to clients who have agreed to receive them.

Anthropic
Answers the questions you ask the in-app Guide, helps match a spreadsheet’s columns when you import one, drafts or rewrites the words on your coach website when you ask it to, and, where a coach turns it on, helps a client put a reflection into words for their takeaways. Requests reach it through Vercel.
HandlesWhat you type into the Guide. For an import, only the file’s structure, such as the column headings, never your clients’ names, emails, notes or amounts. For your website, your business and practitioner name, your booking types and packages with their descriptions, the voice settings you pick, and any text you ask it to rewrite, never client information. For takeaways help, only the reflection a client chooses to send and the title of the list it is for, with the client’s name taken out of the title and without the client’s account details; CoachTide does not store the reflection.

Your Google Calendar and Google Meet links, if you connect your calendar. Spam protection (reCAPTCHA) on public forms such as booking pages and sign-up forms. Visitor counts (Google Analytics) on our public marketing pages only, never inside the app or the client portal. Our own email and team chat.
